How to reach us, what to send with your first email, and answers to the questions we hear most often.

Before you contact us

Sending these four things with your first email usually saves a round trip:

  1. Your HubSpot Account ID (Hub ID). You'll find it under your account name in the top navigation, or in the URL: app.hubspot.com/contacts/<HubID>/.
  2. Which pipeline, property or workflow the question is about, and what you changed.
  3. When you made the change, including your time zone.
  4. What you expected to see on the settings page and what you actually saw, with a screenshot if you have one.

Never send us these

Do not include passwords, HubSpot access keys or private app tokens in a support email. We never need them.

I made a change but it isn't listed

Work through these in order:

  1. Was it the first check? The first check after installing only records a starting point. Changes made before it are not listed.
  2. Has a check run since? Click Check for changes now, or wait up to 15 minutes for the next automatic check.
  3. Is the area turned on? Under What to watch, make sure the area you changed, such as Deal pipelines & stages, is ticked.
  4. Is it hidden by severity? With Notice and above selected, housekeeping such as reordering stages is hidden. Choose Everything to see it.
  5. Did the change stay? If a value was changed and then changed back before the next check, there is nothing to list. Open the item in HubSpot and check that it still shows your new value.

"Changed by" doesn't show a name

HubSpot only records who made a change for pipelines and stages. For properties and workflows the column reads Not available from HubSpot, and PortalWatch cannot fill it in.

For pipelines, HubSpot or an integration means HubSpot recorded the change without a user, which usually means another connected app or HubSpot itself made it. If you see user IDs instead of names, reinstall the app and approve the Read owners permission.

The settings page asks me to reinstall

If the page says Reinstall PortalWatch to turn on everything, your install is missing one or more permissions, often because the app was installed before a newer feature was added. Reinstall the app from its Marketplace listing and approve all requested permissions. Your settings and change history are kept.

Workflows show as not available

Your HubSpot subscription doesn't include workflows, or the app was installed without the Automation permission. Pipelines and properties are still watched as normal.

"The last check had a problem"

A check couldn't finish, usually because HubSpot was briefly unavailable. PortalWatch tries again at the next scheduled check, and the areas that did finish are unaffected. If the message stays for more than an hour, email us with your HubSpot Account ID.

"Couldn't reach PortalWatch"

The settings page couldn't contact our server. Click Try again. If it keeps happening, email us — no data is lost while the page can't connect.

Uninstalling

Uninstalling stops all checks and revokes the app's access. Nothing in your HubSpot account changes. See Uninstall the app in the setup guide, including how to have your stored change history deleted.
